Tool
What does your software stack really cost per month?
Every per-seat subscription, added up. Then what a firm brain consolidates, net of the $500 FirmOps maintenance. Start from a real firm's stack and edit every line.
Start from an example, then make it yours
Example: a five-person personal injury firm. Hypothetical example built from vendor list prices only. Clio Manage, a ChatGPT plan, an answering service, phones, files, email and QuickBooks stay. A second CRM, intake forms, per-seat e-sign, a legal AI seat, scheduling, Zapier and a review tool are marked Consolidates.
You keep, net of FirmOps maintenance
$1,290/mo
$15,480 a year, after the $500 a month maintenance
Software spend today
$2,765/mo
$33,180 a year
Marked Consolidates
$1,790/mo
$21,480 a year, minus $500 = the green number
Every per-seat tool above bills 5 people. FirmOps bills your firm, not your headcount. The green number is a starting point for a conversation, not a promise. You flip the tags; we do not.
Founding cohort pricing: $500 a month maintenance, build fee waived for the first 10 firms. The build connects your case system, email, documents and billing to your brain and launches your first workflow. The green number already includes the $500.
Hypothetical example built from vendor list prices only. Not a real firm.
What replaces each line you marked Consolidates
- Lawmatics ($745/mo): The brain works your leads inside the case or task system you keep, with a reply drafted for your OK. A second CRM goes away.
- Jotform ($39/mo): A FirmOps intake portal on your own domain, cloned from the form you use today.
- DocuSign eSignature ($60/mo): Sign-and-pay links through FirmOps at $1 per envelope, instead of per-seat plans.
- Spellbook ($398/mo): The brain gives ChatGPT or Claude your case file. A separate legal AI seat is rarely needed.
- Calendly ($80/mo): Booking on your own site through the portal.
- Zapier ($69/mo): The brain runs the automations and FirmOps keeps them working.
- Podium ($399/mo): Review requests and client texts drafted by the brain, sent after your OK, from a number FirmOps runs.
Pick your 3 builds
Every firm gets the core: the brain, read-first, JB on iMessage. Then choose 3 of 5. Builds that match the lines you marked Consolidates are flagged. Already have one? Skip it. The rest arrive one a month on maintenance.
Pick 3. They go into your agreement by name. What each build includes.
Apple Pay, Google Pay, card or bank. See what the $500 covers on the pricing page. Terms are agreed at onboarding.
How to use it
Pick a practice area to load an example stack, set how many people work at the firm, then make every line yours: the tool name, per seat or per firm, seats, and the monthly cost from your actual bill. Untick a line you do not pay for. Add a line for anything missing. The total is your operations software spend, monthly and annual.
Each line carries a tag. Stays means the firm keeps paying it. Consolidates means a firm brain replaces or absorbs it, and the calculator says what FirmOps provides instead. Flip any tag. The consolidated figure is a starting point for a conversation, not a promise.
What usually stays, and what a firm brain consolidates
Default tags, by category. Your firm decides; these are only where most firms land.
Usually stays
- Practice or case management. Your system of record. The brain connects to it; it does not replace it.
- ChatGPT or Claude team plan. This is where the brain lives. Keep it.
- Answering service or receptionist. People keep the phones. The brain runs the work behind them.
- Phone system. Stays. The brain reads call and lead data from it where there is an API.
- Billing, payments and accounting. Stays. The brain reads invoices and payment status; your accountant keeps the books.
- File storage and document management. Stays. Your files stay in your account; the brain reads and files into the matter folder.
- Email and office suite. Stays. The brain reads the signed-in person's mailbox and drafts replies for their OK.
- Project and task management. Stays when it is how the firm runs. One extra seat for the FirmOps identity, usually about $10 a month.
Often consolidated by a firm brain
- CRM and intake pipeline. FirmOps provides: The brain works your leads inside the case or task system you keep, with a reply drafted for your OK. A second CRM goes away.
- Intake questionnaires and forms. FirmOps provides: A FirmOps intake portal on your own domain, cloned from the form you use today.
- Client portal. FirmOps provides: A client portal on your subdomain: uploads, status, sign and pay.
- E-signature. FirmOps provides: Sign-and-pay links through FirmOps at $1 per envelope, instead of per-seat plans.
- Document automation and drafting. FirmOps provides: Drafts from the file, staged for your review, in the AI you already use. Specialist drafting systems (estate, forms) usually stay.
- Legal AI assistant. FirmOps provides: The brain gives ChatGPT or Claude your case file. A separate legal AI seat is rarely needed.
- Scheduling. FirmOps provides: Booking on your own site through the portal.
- Automation glue (Zapier, Make). FirmOps provides: The brain runs the automations and FirmOps keeps them working.
- Review requests and client texting. FirmOps provides: Review requests and client texts drafted by the brain, sent after your OK, from a number FirmOps runs.
Per seat versus per firm is the real contrast. Every tool a firm consolidates bills per user, so the bill grows with headcount. FirmOps bills the firm. The brain is an MCP server we build and run across your case system, email, documents and billing; humans approve anything that goes out. How it works is on the platform page; the offer is the Managed Firm Brain.
The examples
Example: a five-person personal injury firm (hypothetical, list prices only).
Example: a five-person estate planning firm (a real FirmOps client, anonymized). A real FirmOps client, anonymized. Five people. Cancelled Lawmatics, LEAP and DecisionVault once the brain connected Asana, Dropbox, Microsoft 365, QuickBooks Online and Wealth Counsel, and a FirmOps intake portal replaced the questionnaires. LEAP had no API, so this firm moved its matters to Asana; most firms keep their case system. The firm also replaced its newsletter and website vendor; that is outside this calculator.
Example: an eight-person criminal defense firm (a real FirmOps client, anonymized). A real FirmOps client, anonymized. Eight people, Texas. Keeps Clio Manage with Payments and Grow, Google Workspace, Dropbox and CallRail. Moved to FirmOps: the Typeform and Zapier ticket-review funnel, review-request automation, and per-envelope e-sign, now sign-and-pay links by text. List prices shown where the firm's bill is not on record.
Real-client examples name the vendors and use the vendor's published price where one exists; lines marked est. are third-party estimates because the vendor publishes no price. The hypothetical example is built only from published list prices and is labeled as such. FirmOps does not publish savings averages.
Pricing used in the net figure
Founding cohort pricing: $500 a month maintenance, build fee waived for the first 10 firms. The build connects your case system, email, documents and billing to your brain and launches your first workflow. The net line subtracts the $500 from what you marked Consolidates. It does not subtract new costs on the other side: an extra seat for the FirmOps identity in a per-user tool (about $10 a month in most task tools), e-sign envelopes at $1 each, or your own ChatGPT or Claude plan. What the maintenance covers, and what is quoted, is on the pricing page.

Questions
What does this calculator add up?
Your operations software: practice or case management, CRM and intake, intake forms, client portal, e-signature, document automation, legal AI, your ChatGPT or Claude plan, answering service, phones, scheduling, billing, file storage, email, project management, automation glue, and review or texting tools. Each line is per seat or per firm, with the seat count and the monthly cost you can edit. Marketing, website and SEO spend is not in this calculator.
Where do the default prices come from?
From each vendor's own published US pricing page, with the date it was checked, listed under Sources on this page. Where a vendor publishes no price, the line is marked est. and uses a third-party estimate, or is left blank for you to fill in. Your bill is the number that matters; the defaults are a starting point.
What does "Consolidates" mean?
A line a firm brain replaces or absorbs. For each one, the calculator says what FirmOps provides instead: an intake portal on your domain, sign-and-pay links at $1 per envelope, drafts from the file in the AI you already use, automations the brain runs. You can flip any tag. Your case system, email, files, billing and your AI plan are marked Stays by default.
Does the case management system go away?
Usually not. The case system is the system of record and the brain connects to it. One real example on this page, an estate planning firm, replaced a practice management system that had no API with a task system it already paid for. That was that firm's call, not the rule.
Is the net figure a savings promise?
No. It is what you marked Consolidates, minus the FirmOps monthly maintenance, before any new costs on the other side, like an extra seat for the FirmOps identity in a per-user tool, e-sign envelopes at $1 each, or your own AI plan. Use it to decide whether a demo is worth 30 minutes.
What does the $500 FirmOps maintenance cover?
Your firm brain kept running: connections to your systems monitored and re-authorized, drafts for your OK, a work-that-needs-attention queue, one new workflow or tool request a month, a monthly ops note, and JB, the business agent you text from your iPhone. The full scope is on the pricing page. Founding cohort pricing: $500 a month maintenance, build fee waived for the first 10 firms.
Can I share or save my numbers?
Yes. "Copy a link to this stack" gives you a URL that reopens every line exactly as you set it. "Email me this breakdown" sends the same link and the totals to your inbox. Nothing is stored on our side except the lead record you created by asking for the email.
Can I embed this on my own site?
Yes. Paste the iframe snippet below. It shows the practice-area examples and totals, with a link to the full calculator. Keep the FirmOps link; that is the attribution.
