Your firm brain

We build your firm its own AI brain. With you, not sold to you.

FirmOps is a service, not a product. We sit in the seat with you, learn how your firm actually runs, and build a custom brain around your real stack, whatever you run on: your case system, documents, email, SMS, billing. It reads and writes across all of it, always behind your approval. The phones and the client relationship stay human.

See how it works

For owner-led personal-injury and high-volume contingency firms that want AI woven into how the firm runs, not bolted onto one app. We build on whatever stack you already use.

What managed means

We build it. We run it. You own it.

You do not buy software and figure it out alone. We learn how your firm runs, then design and build a custom firm brain around your stack, and we run it for you: monitoring it, keeping it healthy, and adding workflows as your firm grows.

We meet your firm where it is and prove it on one real workflow first. As it earns trust, the brain takes on more responsibility, from read-first answers to supervised, approval-gated work. Managed is how we work. The brain is what you own.

What the brain does

One layer that reads and writes across your whole firm.

Most case systems have a built-in assistant now, but it lives inside that one app. Your firm brain lives across everything, available where you work: phone, desktop, web, on the go.

Reads across your stack

One context, not one app

Your case system, document storage, email, SMS, billing, whether that is Clio, Filevine, SmartAdvocate, or something else. The brain holds them together, so it can answer questions no single app can and notice when two systems disagree.

Drafts the work

From the real file, not a blank prompt

Letters of representation, provider letters, demands, client updates, follow-ups. The brain prepares the document from the actual matter, documents, and correspondence in front of it.

Holds for approval

The brain stages. You release.

Drafts land in your own email drafts, or behind approve, reject, and retry buttons on your phone. Nothing leaves the firm until a person clears it.

Custom to your firm

Built around how you actually run

Your fit criteria, your stages, your stack, your documents. Not a template with your name on it. The brain is yours, and it reflects your firm, not a generic product.

What stays human

AI is not the voice of your firm.

We automate everything behind the phone and leave the phone to people. That is on purpose, not a limitation.

  • Live client calls route to people, with clean IVR, smart routing, and human call-center backup
  • AI is not the voice of your firm, and we will not pretend it is
  • A personal-injury client who feels handled by a bot calls the next firm fast
  • AI belongs everywhere behind the phone: drafting, intake logging, records, billing, follow-up

Proof, not promises

Built inside a real firm, deployed read-first.

FirmOps is built and run inside a working personal-injury firm with 1,000+ active matters, led by a sitting non-attorney partner and COO. The brain starts by reading across the stack and proving safe answers before it writes anything.

Common questions

Straight answers.

Is FirmOps an AI receptionist?

No. FirmOps does not answer client calls with AI. We set up IVR, smart routing, and human backup for live calls, and put AI everywhere behind the phone: drafting, intake logging, records, billing, and follow-up. A personal-injury client who feels handled by a bot calls the next firm fast.

What is a firm brain?

One supervised AI layer connected to your case system, documents, email, SMS, and billing. You ask a plain-English operating question and get source-linked answers and approval-gated drafts back.

Does FirmOps only work with Clio?

No. We are tool-agnostic and build on whatever you run, including Clio, Filevine, and SmartAdvocate. We only need your systems to have APIs we can connect.

How is this different from my case system’s built-in AI?

Built-in assistants live inside one app. Your firm brain works across every system at once, so it can answer questions and catch conflicts that no single app can see.

Does the AI send things to clients on its own?

No. Documents draft into the requesting staff member’s own email drafts, and automations sit behind approve, reject, and retry controls. A person always releases the work.
